This policy explains how Pivos collects and uses personal data when you use this website, talk to Nathan (our AI assistant), or enquire about our services. Pivos is operated by PIVOS LTD, a company registered in England and Wales, company number 17252824, with its registered office at 61 Eastgate, Cowbridge, Wales, CF71 7AA ("we", "us"). We are registered with the Information Commissioner's Office (ICO). PIVOS LTD is the data controller for the personal data described in this policy.
What we collect
- Enquiry details you give us through the contact form: your name, work email, company (optional) and your message.
- Chat data when you talk to Nathan, our AI assistant: the messages you type, and, if you request your plan by email, the email address you provide and your marketing preference. Please do not share sensitive personal information in the chat.
- Technical data your browser sends automatically, such as IP address and device or browser type, used only for security and to keep the site working.
- Analytics data if and when we enable website analytics, always in a privacy-aware way and with your consent. See our cookie policy.
Why we use it, and our lawful basis
We use enquiry details to respond to you and discuss whether we can help, on the basis of our legitimate interest in responding to business enquiries. We use chat data to provide the assistant, to follow up when you ask us to (for example, sending you the plan you requested), and to improve the quality of the service, on the basis of our legitimate interests. We send marketing emails only where you have ticked the consent box, and you can withdraw that consent at any time by emailing us or using the unsubscribe link.
How the AI chat works
Messages you send to Nathan are processed through our infrastructure on Cloudflare and by our AI provider, Anthropic, to generate responses. A record of conversations is kept so we can review quality and follow up where you have asked us to. Some of our providers may process data outside the UK; where they do, appropriate safeguards required by UK data protection law are in place.
Who we share it with
We do not sell your data. We share it only with service providers that help us run the site and respond to you: Cloudflare (website hosting and chat infrastructure), Anthropic (AI processing of chat messages), and the form and email tools we use to handle enquiries. Each processes data on our instructions.
How long we keep it
Chat transcripts are kept for up to 90 days. If you ask us to email you a plan, we keep your email address and request for up to 12 months, or longer where you have consented to receive marketing from us. Enquiry details are kept as long as needed to deal with your enquiry and any resulting client relationship, then deleted.
Your rights
You have the right to access, correct, or ask us to delete your personal data, to object to or restrict processing, and to data portability. To exercise any of these, email hello@pivos.co.uk. You can also complain to the ICO at ico.org.uk, though we would appreciate the chance to put things right first.
AI-assisted delivery
Pivos is an AI-assisted managed service, disclosed openly. Where our work involves processing information you share with us as a client, we set that out separately in your client agreement, with a human reviewing every output.
